Best iOS Quick-Capture Apps 2026: Simple Memo vs Drafts & More

A quick capture app earns its place when you can find the note tomorrow. Simple Memo sends a short note to your inbox or a configured Obsidian vault. Drafts gives you actions to process it. Apple Notes, Google Keep, Bear, and Notion offer different places to keep working with it.

This comparison is published by the developer of Simple Memo. We compare six apps on capture, destinations, automation, privacy, offline use, and pricing. Product details were checked against official documentation on September 6, 2026. The eight-app speed table below uses retained August 11 records; it is not a new test of current releases.

Choose the destination before the capture app

These recommendations describe workflow fit, not an overall winner. A capture tool adds value when the note reaches a place you already review. If you must search three inboxes to find it, an extra fraction of a second at launch is unlikely to be your main problem.

How long until you can actually type?

The retained measurement is input readiness on a warm launch: from tapping the app icon until the keyboard is fully displayed and accepts a keystroke, including any intervening new-note taps. It excludes typing, saving, email delivery, writing an Obsidian file, and syncing that file to another device.

Recorded August 11, 2026 on an iPhone 16e (A18), iOS 26.5.2; Simple Memo was version 5.7.3. The table keeps the original eight apps, although the feature comparison focuses on six. These are developer-published records, not an independent ranking or a guarantee for another phone, launch route, or app version.

Drafts uses a different summary statistic. Its retained 0.9-second value is the selected fastest run; its five retained runs have a median of 1.450 seconds. Other rows report medians, with sample sizes shown individually. Do not read the retained-value column as a ranking of typical speed or calculate “times faster” claims from it. Six apps: what each workflow needs

Simple Memo: send it to a place you already check

Simple Memo - for Obsidian is a candidate for short notes sent to your own email inbox or appended to a configured vault. Email requires recipient setup and verification. For Obsidian, select the vault location, grant folder access, and check the destination file. A successful capture screen alone does not prove that a message reached your inbox or another device.

Shortcuts and on-device automatic tagging can help with capture and organization. For collaborative editing or a long document, consider the capabilities of your destination app as well. Start with a harmless test note and follow it all the way to that destination. Simple Memo setup guides.

Drafts: write first, then run an action

Drafts is a candidate when captured text needs processing or several possible destinations. The free version can create, edit, and sync drafts and run bundled or directory actions. Creating and editing actions requires Pro. This distinction matters: trying an existing workflow does not automatically require a subscription. Drafts Free and Pro.

For a file-based workflow, configure the action and grant access to its destination folder on each device. A folder bookmark is permission to write there; it is not automatic setup for every app that uses Markdown. Drafts folder bookmarks.

Apple Notes: capture and keep working in the same library

Add Quick Note to Control Center for an entry point from other screens. The icon-launch timings above do not measure that route. If your notes live in iCloud, you can also view and edit them at iCloud.com; notes locked with a device passcode cannot be opened there. Quick Note, iCloud.com Notes, locked-note limits.

It is a sensible starting point if the Notes library itself is your destination. If every note must become an email or a Markdown file elsewhere, include those transfer steps in your trial.

Google Keep: a shared destination across devices

Keep is a candidate for notes and lists in a Google account, particularly when you use both Apple and other devices. Check the account selected on each device and the sharing settings for the note. Keep's own documentation describes encrypted storage and transmission, including locally stored files for offline access. It also says Keep content is not used for advertising. That does not mean the service never processes content: the same document describes features such as handwriting recognition. Keep privacy and data use.

Bear: a Markdown library with tags

Bear is a candidate if you want to write, organize with tags, and retain notes in a Markdown-oriented app. Its free plan includes local notes and exports such as TXT and Markdown; it is not a one-note trial. Notion: capture into an existing workspace

Notion is a candidate when a note belongs in a project page or database you already use. Choose the destination and access permissions first. API-based capture requires a configured connection with access to the relevant parent page or data source; installing the app does not set that up. Notion connections.

Offline use is available to workspace members on all plans in desktop and mobile apps, not in the browser. Download the pages you need; subpages must be selected separately, and online-only features remain unavailable offline. Paid plans also offer automatic downloads of recent and favorited pages. Automation: count the setup as part of the workflow

Use the official guides linked above to check the exact action and its permissions. Copying text, sharing a note, running an installed action, and building an API connection involve different amounts of setup. A checkbox labeled “automation” hides those differences.

Privacy: encrypted where, and who controls the destination?

Simple Memo: the on-device Outbox and send history use AES-GCM encryption. Ordinary email delivery is not end-to-end encrypted: the message passes through delivery processing and your mail provider. A Markdown file written to Obsidian is a separate artifact, whose protection and synchronization depend on your vault location and settings. Simple Memo's data paths.

Drafts: sync uses iCloud CloudKit. Drafts 52 and later support Advanced Data Protection for specified content fields, including draft text. Apple Notes: standard iCloud protection includes encryption in transit and at rest. Optional Advanced Data Protection extends end-to-end encryption to supported Notes data; it is a security setting, not a requirement to buy iCloud+. Google Keep: Google documents encryption in transit and at rest. This is not evidence that only the user can decrypt the data. Evaluate Google's stated processing and sharing rules against your needs. Keep privacy guidance.

Bear: sync uses CloudKit and supports Apple's Advanced Data Protection; note titles and tag names have different coverage. Bear Pro also offers individual note encryption, including attachments. Notion: its security documentation states AES-256 encryption at rest and TLS 1.2 or greater in transit. That is different from a claim of end-to-end encryption with keys held only by the user. Workspace sharing and connection permissions also matter. Notion security practices.

Free tiers and paid features

A small trial that answers more than a speed ranking

1. Pick one destination. Use the inbox, vault, or library you already review.
2. Set up one entry point. Complete recipient verification, folder access, or action permissions where needed.
3. Write one harmless note online and one offline. Check what is retained locally and what waits for a connection.
4. Reconnect and inspect the destination. Confirm the actual email, file, or synced note rather than relying on a cleared input field.
5. Find it the next day. Add another app only if you can name the missing step it will handle.

For an inbox workflow, try Simple Memo with your regular email app. For processing text before filing it, try Drafts with a destination you configure. For an existing Notes, Keep, Bear, or Notion library, begin with that app's own capture route. Moving among several apps may involve manual copy or sharing unless you separately configure an action; this article does not claim a built-in automatic chain.
